Most ERP implementations are described using familiar language: processes, integrations, testing and go-live.
All of that matters. But while helping a Swedish regional healthcare organization implement an ERP solution for a new central warehouse and the distribution of pharmaceuticals and medical supplies, the purpose of the project became much more tangible.
In this context, material availability is not simply a question of operational efficiency. A missing consumable can delay care. A missing pharmaceutical can, quite literally, become a matter of life and death.
The ERP solution is therefore more than an administrative system. It is part of the infrastructure that healthcare professionals and patients depend on every day.
The best system demands as little attention as possible
Healthcare professionals should spend their time caring for patients - not navigating complicated ordering processes or trying to understand how an ERP system works.
This principle has shaped much of our work. The solution needs to make it easy for healthcare personnel to find and order the right products. When staff are also involved in receiving or picking materials, those processes need to be intuitive and efficient. Every unnecessary step consumes time that could have been spent helping patients.
Creating that simplicity is more difficult than it may appear. Healthcare supply includes a wide range of users, products and situations. The system must provide sufficient control, traceability and accuracy without making everyday tasks unnecessarily complicated.
A well-designed solution should guide users through the process and expose only the information they actually need. The complexity should be handled by the solution, not transferred to the healthcare professional.
Designing for reality, not only the ideal flow
It is relatively easy to design a process for the ideal scenario: the supplier delivers the correct quantity, all information is accurate, every integration is available and users follow the expected sequence.
Real operations are rarely that predictable. Deliveries contain discrepancies. Products are replaced. Demand changes. Data contains gaps. Integrations are temporarily unavailable. Urgent needs do not always follow the planned process.
In a healthcare supply chain, these situations cannot be treated as afterthoughts. The solution needs to support both the normal flow and the moments when something unexpected happens.
This requires close collaboration between healthcare representatives, logistics specialists, purchasers, system experts and integration partners. It also requires testing complete business flows rather than individual functions.
An ordering process can work perfectly in isolation and still fail when it meets a warehouse process, an external system or the reality of a healthcare unit.
Go-live is when the system meets the physical world
A successful go-live is not simply the moment when the new system becomes available. It is when people, processes, data, integrations and physical operations begin working together under real conditions.
Responsibilities need to be clear. Critical flows need to be tested from end to end. Product information needs to be reliable. Users need to understand what to do both in the standard process and when something goes wrong.
The organization also needs the ability to identify, prioritize and resolve issues quickly during stabilization.
In an implementation like this, quality is not measured only by whether the solution follows its design documents. It is measured by whether healthcare units receive what they need and whether the people using the system can rely on it.
